The move is part of a unified hotel property management system (PMS) migration strategy.

Following an implementation initially throughout select properties in 2025, the rollout will be extended to six Cocoon & Eckelmann hotels and three white-label properties, covering a total of 800 rooms.

Apaleo’s system will also support Hotel Europäischer Hof in Munich. The 148-room property is scheduled for redevelopment, aiming to become the largest Cocoon Hotel in Munich by 2027.

Previously reliant on a legacy PMS, Cocoon Hotels faced regular system downtime and labour-intensive manual tasks such as guest portfolio reconciliation and credit card processing.

Processing a single credit card payment previously required up to 17 steps. Adopting Apaleo has enabled the company to simplify workflows and increase automation, minimising manual effort throughout the guest journey.

The migration process has been managed by a single team member due to Apaleo’s straightforward implementation. The first two Cocoon hotels went live on the platform in less than six weeks.

The group plans further developments in its technology stack, focusing on AI-driven automation and integrations, as well as supporting new property openings.

Cocoon Hotels’ reservations and digital guest journey head Mathias Vögl said: “What really makes Apaleo stand out is how reliable and flexible it is. Our team finally has a system they can trust to work every day, and that’s made a huge difference. Instead of constantly fixing issues or dealing with clunky processes, our staff can now focus on being present for our guests.

“The goal was never to remove people from the hotel experience, but to free up their time, and Apaleo supports that with an open approach that lets us build exactly what we need rather than being locked into a rigid, all-in-one solution.

“That flexibility also allowed us to move quickly. We signed the contract and had the system up and running across multiple properties within weeks, which has been a real game-changer for us. 2026 will be a year of growth and innovation, and we’re very excited to scale with Apaleo as our foundation.”
